Key Responsibilities

Executive Support

  • Manage a complex and ever-evolving calendar across multiple priorities and time zones
  • Draft, edit, and manage communications on behalf of the principal with a polished, professional voice
  • Prepare meeting materials, track action items, and ensure seamless follow-through
  • Act as a gatekeeper and strategic partner, protecting time and priorities
  • Coordinate with internal teams, advisors, and external partners with professionalism and discretion

Communications & Coordination

  • Serve as a liaison across personal and professional relationships
  • Handle sensitive communications with tact, diplomacy, and sound judgment
  • Support correspondence related to legal, insurance, and institutional matters
  • Track ongoing items and ensure timely resolution across stakeholders

Travel & Logistics

  • Plan and coordinate personal travel end-to-end, including flights, accommodations, itineraries, and transportation
  • Build thoughtful, detailed itineraries with contingency planning
  • Track loyalty programs, memberships, and travel-related accounts

Research & Project Support

  • Conduct research and present clear, organized recommendations (vendors, schools, travel, etc.)
  • Support special projects such as events, household initiatives, and operational improvements
  • Assist with coordination across business and personal priorities

Personal & Household Support

  • Help manage family scheduling, activities, and logistics
  • Coordinate with household vendors and ensure smooth day-to-day operations
  • Assist with errands, gifting, and personal administrative tasks
  • Support planning efforts such as travel, events, and long-term family needs

Administrative & Financial Support

  • Assist with bill pay, vendor coordination, and basic financial tracking across multiple accounts
  • Maintain organized digital records and documentation
  • Track renewals, memberships, and important deadlines

Qualifications

  • 5+ years of experience as an Executive Assistant, Personal Assistant, or similar role
  • Highly organized with exceptional attention to detail
  • Strong written and verbal communication skills
  • Proactive, resourceful, and solution-oriented with a strong sense of ownership
  • Discreet and trustworthy with sensitive and confidential information
  • Comfortable managing multiple priorities in a fast-paced environment
  • High emotional intelligence and professionalism
  • Tech-savvy and quick to learn new systems
  • Valid driver’s license and reliable transportation required

Preferred but not required:

  • Experience supporting a high-net-worth individual or private principal
  • Familiarity with travel planning, vendor coordination, or household management
  • Exposure to legal, immigration, or property-related processes

Compensation

  • Hourly rate: $35–$40 per hour (non-exempt, eligible for overtime in accordance with California law)

Role Details

  • Part-time (schedule to be determined based on mutual alignment)
  • Based in San Francisco; a mix of remote and in-person support may be required
  • Flexibility to occasionally respond outside of standard business hours
