Key Responsibilities / Position Summary

This role reports directly to the Managing Director and supports office operations, HR coordination, administrative organization, and day-to-day team support across the company. 

Office Operations & Administrative Support

  • Support the daily operations and administrative functions of the office
  • Maintain organization across company systems, files, shared drives, and internal documents
  • Coordinate office supplies, deliveries, mail, and vendor communication
  • Assist with scheduling meetings, team coordination, and internal calendars
  • Help maintain a polished, organized, and welcoming office environment
  • Support leadership with administrative projects, follow-ups, and operational tasks
  • Assist with organizing internal processes and improving workflow efficiencies

HR & Employee Coordination

  • Support onboarding coordination for new hires, including paperwork, scheduling, and employee communication
  • Coordinate background check logistics and onboarding tasks through company systems
  • Assist with maintaining organized employee records and HR documentation
  • Support employee communication regarding benefits, payroll, PTO, and general administrative questions
  • Assist with employee celebrations, culture initiatives, and internal team events
  • Help coordinate timecard reminders and administrative follow-up as needed
  • Maintain confidentiality when handling sensitive employee information

Accounts Receivable & Team Support

  • Assist with invoice tracking, administrative payment follow-up, and maintaining organized records
  • Coordinate internally regarding outstanding balances and payment updates
  • Support preparation of administrative documents, forms, and client-facing materials
  • Assist with operational follow-up related to project timelines, staging renewals, and scheduling coordination
  • Provide general team support across departments as business needs evolve
  • Responsibilities and duties may evolve based on business needs and company growth

Skills and Qualifications

  • 1–3 years of administrative, office coordination, hospitality, customer service, or related experience preferred
  • Strong organizational skills with the ability to manage multiple priorities and deadlines in a fast-paced environment
  • Professional written and verbal communication skills
  • High attention to detail and strong follow-through
  • Positive, collaborative, and solution-oriented mindset
  • Ability to handle confidential information with professionalism and discretion ● Proficiency in Google Workspace (Docs, Sheets, Slides)
  • Experience with HR systems, payroll platforms, QuickBooks, or project management tools is a plus but not required
  • Interest in operations, HR, administration, and business coordination with a desire to grow professionally

Work Environment & Benefits

  • This is a full-time, on-site role based in our San Francisco office.
  • Typically scheduled hours are Monday–Friday, approximately 9:00 AM–5:30 PM. Weekly hours will range between 32–40 depending on workload and business needs. Occasional overtime may be required.
  • Compensation: $32.00 – $36.00 per hour, based on experience.
  • FLSA Classification: Non-Exempt / Full-Time 32–40 hours a week depending on workload and seasonality. Overtime may be required on occasion.
